PRIVACY POLICY

Your privacy matters. A detailed explanation of what FaceIndex processes, what you can save, how account information is protected, and how to exercise your privacy choices.

OUR COMMITMENT TO YOUR PRIVACY

We want to help you monitor your online image presence while treating sensitive personal data with care. Search responsibly, choose what to save, and understand when processing by vendors or legal obligations may apply.

1. Our Privacy Commitment

We operate FaceIndex to help individuals understand their online image presence. We aim to collect only information needed to deliver requested services, protect accounts, address misuse, and meet legal obligations. We do not sell personal search information. This policy explains both customer choices and the important limits of privacy in an online service.

2. Information You Provide

When you register or contact us, we may receive your name, email address, account identifiers, profile preferences, messages, support requests, uploaded evidence, and other information you choose to submit. Search inputs may include images, image URLs, and associated information; a face image may constitute biometric or sensitive personal information under some laws.

3. Search Images and Queries

Search images and URLs are processed to perform the requested search. Our intended practice is not to maintain a permanent, customer-visible archive of unsaved raw search submissions. Temporary processing, third-party search-provider handling, security logs, abuse investigations, backups, and legal preservation can involve limited retention. Do not assume that a query disappears instantly from every processor or system. We will publish verified retention periods once implementation and provider agreements are confirmed.

4. Private Saved Searches

Saving a search or match is optional. If you save a result to your dashboard, its image reference, source URL, discovery date, and related notes may be retained until you delete it or your account is closed, subject to legal and backup retention. Saved records are intended to be access-controlled and encrypted in transit and at rest. “Private” means not publicly listed by us; it does not mean no service provider or authorized employee can ever access records.

5. Information We Do Not Sell

We do not sell customer search submissions, saved image archives, or personally identifiable customer information to data brokers or advertising networks. We do not intentionally publish private customer archives on public web pages. We do not require your payment-card number to be stored in our own application database when payments are handled by a payment processor.

6. How We Use Information

We use data to authenticate accounts, conduct searches, provide purchased credits, deliver eligible monitoring or removal services when enabled, show archive records, send transactional notices, provide support, prevent fraud and abuse, troubleshoot errors, maintain security, calculate billing, comply with law, and improve reliability. We do not treat a visual match as conclusive proof of a person’s identity.

7. Facial Matching and Sensitive Data

Face-based searching may involve automated analysis of facial features and data that certain jurisdictions classify as biometric information. Search results may be inaccurate, misleading, or identify the wrong person. Only submit images you are legally authorized to use; do not search to stalk, intimidate, discriminate against, or profile others. We do not authorize use of consumer results for eligibility or other high-impact decisions.

8. Account and Authentication Security

Authentication records are handled through our account service providers. Passwords should be hashed rather than stored as readable text. We use or plan to use encrypted connections, scoped access permissions, audit trails, and safeguards appropriate to the sensitivity of search data. No internet system can guarantee absolute security. Keep your password and sign-in links private and notify support promptly of suspected unauthorized access.

9. Payments, Memberships and Credits

Payment providers may collect card, wallet, transaction, fraud-prevention, and billing details under their own privacy policies. FaceIndex may retain payment status, processor transaction IDs, plan level, credit balances, expiry dates, invoices, refunds, and support history. Monthly membership credits expire at the end of their cycle; purchased and refunded credits follow the terms disclosed at checkout and in your dashboard.

10. Third-Party Processors

Service providers may process data to deliver authentication, hosting, database storage, image matching, email, payments, fraud prevention, analytics, and support. Their processing and retention policies can differ from ours. We aim to limit disclosures to what is needed for a service and to select appropriate safeguards. Some providers may operate in other countries. A provider list and any international-transfer safeguards should be published when verified.

11. Cookies, Logs and Analytics

Essential cookies or local storage may keep you signed in, remember consent, and protect sessions. Operational logs can record IP address, device and browser information, access times, error details, and security events. If optional analytics are used, we aim to minimize personal data and provide applicable controls. Browser settings may block cookies, but essential features could stop working.

12. Data Retention and Deletion

We retain account, payment, saved archive, support, and security records only as long as reasonably necessary for their stated purposes, legal duties, disputes, and fraud prevention. Deleting a saved archive item does not necessarily immediately remove every backup or third-party copy. Transaction and legal records may need to be retained after account closure. Exact schedules depend on technical configuration and legal requirements and should be verified before publication as fixed promises.

13. Your Privacy Rights

Depending on your location, you may have rights to access, correct, delete, obtain a copy of, or restrict certain uses of your personal information; you may also have rights relating to sensitive or biometric information and automated processing. Send requests to support@faceindex.org. We may verify identity before acting and may retain information where law requires or permits. You can request account closure and removal of optional saved records.

14. Communications and Notifications

We may email sign-in links, receipts, payment notices, account alerts, support responses, security notifications, and—if subscribed and available—monitoring reports. You may be able to adjust nonessential notifications in your dashboard or through an unsubscribe link. Critical service and legal communications may continue while your account remains active.

15. Children and Age Limits

FaceIndex consumer services are intended for adults age 18 or older. We do not knowingly solicit children to create accounts or submit face images. If you believe a minor’s information has been provided without appropriate authorization, contact support so we can review and take action consistent with applicable law.

16. International Processing

Our services may involve infrastructure and vendors located in the United States and other jurisdictions. Privacy rights, government-access rules, and data-transfer requirements differ across countries. Where applicable, we will use required legal safeguards and honor valid local rights. Service availability may be restricted in jurisdictions where we cannot comply with applicable laws.

17. Security Incidents

If we identify a security incident affecting personal data, we will investigate, contain it, remediate vulnerabilities, and notify affected people or authorities when required by applicable law. Notification timing and content depend on the facts and legal obligations. We encourage customers to report suspicious activity promptly.

18. Changes and Contact

We may update this policy to reflect new services, providers, laws, and technical practices. We will post an updated date and provide additional notice when required. For privacy questions, access or deletion requests, or suspected misuse, contact support@faceindex.org or use our support page. The Terms of Service separately govern credits, payments, acceptable use, and refunds.

19. Law Enforcement and Government Requests

We may provide separately contracted services to authorized public agencies. Such arrangements do not automatically entitle an agency to customer data. We review requests under applicable law and may require warrants, subpoenas, court orders, or other valid legal process depending on the request and jurisdiction. We may consult counsel, challenge overbroad requests, and document disclosures where appropriate. We do not voluntarily sell customer records to agencies. Emergency disclosures or other lawful exceptions may apply; no policy can promise that all disclosures require a warrant. Any agency dashboard or chain-of-custody features must be implemented and validated before being represented as operational.

YOUR PRIVACY IS OUR PRIORITY

We aim for secure processing, private customer archives, and no sale of customer search data. The precise protections depend on deployed systems and third-party processors. This page does not guarantee zero data retention, universal encryption, or absolute confidentiality.
